Who we are

Pillion Web is run by Oscar Ayton, a sole trader based in Chichester, West Sussex. Pillion Web was previously called Quotehelm, and emails from oscarayton@getquotehelm.co.uk also come from Oscar and still reach him. Oscar is the controller of the personal data described here. Who this notice covers

It covers two groups:

• People who send an enquiry through this website or by email.
• Directors, owners and staff of UK limited companies and LLPs whose work contact details we use to tell those companies about our services.

If you use the enquiry form

The quote form asks for your name, business name, email, phone number, website, trade, the area you work in, what you are interested in, and a message. We use those details to reply to you.

Lawful basis: steps towards a contract if you are asking for a quote (UK GDPR Article 6(1)(b)), and legitimate interests in answering business enquiries (Article 6(1)(f)).

The form sends your details through Formspree (Formspree, Inc.), which passes them to us by email. The form also has a hidden field that catches spam. It does not collect anything about you.

You can email oscar@pillionweb.co.uk instead of using the form.

What we collect for outreach

• Name, job title and work email address
• Work phone number, if published
• Company name, company number and registered status
• Information the company publishes about itself, such as its website, online reviews and business listings
• Our emails with you and any reply
• Whether and when the link in one of our emails is clicked. Our sending tool (Emelia) records this through a tracking link on our own domain. We do not track whether emails are opened.

Where outreach data comes from

• Companies House
• The company’s own website
• Public business listings, such as Google Maps
• You, if you reply to us or use the enquiry form

Why we use outreach data, and our lawful basis

• To check whether our services may suit your company, prepare a short audit of its public website and listings, and email it to you.
• Lawful basis: legitimate interests (UK GDPR Article 6(1)(f)). Our interest is offering relevant services to businesses. Our assessment of this is available on request.
• We only send unsolicited marketing email to limited companies and LLPs (corporate subscribers under PECR). We do not send it to sole traders or ordinary partnerships without consent.

Who we share it with

We do not sell your data. We use service providers who process it for us under contract:

• Email hosting: Zoho Mail (Zoho Corporation, EU data centre)
• Email sending and inbox warm-up: Emelia
• Lead and enquiry records: Airtable
• Enquiry form: Formspree (Formspree, Inc.)
• Researching websites and drafting audits and emails: AI writing tools (currently Grok Bot)

Some of these may process data outside the UK. Where they do, we rely on UK adequacy regulations or the safeguards in the provider’s contract, such as the UK International Data Transfer Agreement or Addendum.

How long we keep it

• If you do not reply to an outreach email, we delete your details within 12 months of first contact.
• If you ask us not to contact you, we keep only your email address and company name on a suppression list, so we do not contact you again.
• If you enquire, we keep your enquiry for as long as needed to reply. If your company becomes a client, we keep records for as long as needed to do the work and meet tax rules.

Your rights

• Object to direct marketing at any time. Reply “unsubscribe” or email oscar@pillionweb.co.uk and we will stop.
• Ask for a copy of your data, ask us to correct or delete it, or ask us to limit how we use it.
• Object to our use of your data based on legitimate interests.
• We do not make decisions about you by automated means that have legal or similarly significant effects.
• You can complain to the Information Commissioner’s Office: ico.org.uk, 0303 123 1113. We would like the chance to resolve your concern first.

Changes

We will update this notice if how we use your data changes, and show the date at the top.

This website

This website sets no cookies and uses no analytics or tracking. The enquiry form sends only the details you type into it.
